What we do with the personal data of our Clients, Logistics Service Providers, Waste Processors, Website Visitors and other relations

This is the privacy statement of Seenons B.V., with office at Danzigerkade 5b in (1013 AP) Amsterdam, registered in the trade register of the Chamber of Commerce under number 76467244 (“Seenons” or “we”). The other contact details can be found under the heading “Contact details” later in this privacy statement.
In order to properly carry out our business activities, it is necessary to process personal data of our Clients, Service Partners, Website Visitors (as defined below) and other relations. Through this privacy statement, Seenons informs you about how we, as controller, handle your personal data. Here we indicate why we process your personal data, how we do this and what rights you have. If you have any questions or wish to exercise your rights, you can contact us (see the heading “Contact details”).
Seenons is convinced that the protection of your personal data and respect for your privacy is of great importance. Personal data is treated with the utmost care. We consider it important that the processing of personal data takes place in a manner that is in accordance with the existing guarantees for the protection of privacy. We follow the legal rules for the protection of personal data, the General Data Protection Regulation (GDPR) and related applicable laws and regulations, as well as this privacy statement.
In this privacy statement we use the following terms:
Client: a natural person who acts in the exercise of a profession or business or a legal entity that enters into an Agreement with Seenons or requests a quote for this.
Agreement(s): any agreement between Seenons and the Client or Service Partner.
Seenons-platform: the mobile applications provided by Seenons as part of its services and the Website.
Service Partner: a natural person acting in the exercise of a profession or business or a legal entity who collects the Waste Streams from the Client on behalf of Seenons.
Waste Streams: all items/substances/goods offered by the Client to Seenons in the context of a quotation or in the context of the execution of an Agreement, which cannot be regarded as hazardous substances, including (but not limited to) coffee grounds, food remains, orange peels, bread, PMD, PET bottles, avocados, textiles and other substances, residual waste, glass, plastic, construction and demolition waste, polystyrene and cans, which the Client disposes of or intends to dispose of with a view to their removal.

Which personal data does Seenons process?
Personal data is data from which your identity can be traced (directly or indirectly), such as your name, address, e-mail address, IP address and telephone number. In particular, we process the following categories of personal data:
Clients
- Contact details, such as initials, last name, address, e-mail address, telephone number and data relating to delivery such as the delivery address.
Service Partners
- Contact details, such as initials, last name, address, e-mail address and telephone number.
Website visitors without an account who leave messages on the Seenons platform
- Contact details, such as name and email address;
- Personal data that you leave; behind in a message to us;
- IP address, data via cookies.
Other relationships with which Seenons collaborates
- Contact details, such as name, e-mail address and telephone number.
How does Seenons obtain your personal data?
Seenons can receive your personal data in various ways. First of all, you may have provided this personal data yourself via the contact form on the Seenons website, via contact with the Seenons helpcenter, by requesting a quote on the Seenons platform, by placing an order on the Seenons platform or in the context of other business communication. Sometimes we also receive your personal data by telephone or e-mail. Finally, we can obtain personal data via cookies.
Without these personal data, we cannot (among other things) respond to your message or conclude and/or execute agreements. Without functional and analytical cookies, we cannot track visitor numbers, improve services and some parts of the Seenons platform may not be accessible.
Creating an account
Seenons sets up the account together with the Customer. To create an account, the name, telephone number, email address and address are being shared with Seenons. This personal data is stored on a secure server so that you do not have to enter all the data again for each subsequent order. You can request to delete your account at any time.
On what basis and for what purposes does Seenons process your personal data?
We process personal data of Clients and Service Partners mainly for the execution of an Agreement or on the basis of your consent. You can withdraw this consent, see the explanation about withdrawing consent further in this privacy statement. We process personal data of contact persons of companies with which Seenons collaborates and other relations in order to be able to implement (to be concluded) Agreements. Sometimes we have a legitimate interest in processing your personal data, for example for the personal data we collect via cookies, to respond to incoming messages or to send you our newsletter.
We process personal data for the following purposes and only to the extent necessary for those purposes and possible on the basis of the aforementioned basis:
- Execution of an Agreement with Clients and Service Partners;
- Executing a collaboration or Agreement with companies with which Seenons collaborates or other relationships;
- Respond to your messages via the Seenons platform or to questions you ask by email or telephone;
- Making the Seenons platform available;
- Ensuring the operation and security of the Seenons platform;
- Carrying out analyzes on the use of the Seenons platform;
- Customizing the Seenons platform to your needs.
Withdrawing your consent and unsubscribing from any newsletters
Withdrawal of your consent applies for the future and does not affect the lawfulness of processing based on consent before the withdrawal. If you have withdrawn your consent or unsubscribed from our newsletters, we will delete your personal data from our systems within four (4) weeks, unless we have to keep your personal data for a longer period based on a legal regulation or if longer storage is necessary for carrying out our activities or settling the Agreement.
Access to your personal data and provision to third parties
Only Seenons employees who need access to your personal data to perform their work and provide Seenons services have direct access to your personal data in Seenons systems. Our employees are bound by contractual confidentiality. In this way (in combination with the security measures mentioned below) we ensure that this personal data is only accessible to persons who are authorized to do so by virtue of their position and that the personal data is only used for the purposes stated herein. We always look at how we can respect your right to privacy as much as possible.
Where your personal information is shared with other offices, affiliates, agents or appointed representatives within the EEA, they will only use your information for the purposes for which it was originally collected (e.g. carrying out waste logistics, locating waste bins, etc.) and in a manner that complies with all applicable data protection laws.
Seenons may share your personal information with third parties if this is required for legal reasons, such as; requests from enforcement agencies and government agencies; and to protect our rights, users, systems and services. In such cases, appropriate measures will be taken to protect your personal data.
Seenons may also share your personal information with third party service providers as necessary to fulfill the services they provide to us, such as cloud hosting, software, system and website support and data analytics. These third-party service providers are required to use the personal information shared with them only to perform services on our behalf and to keep your personal information strictly confidential.
Sharing data outside the EEA
In principle, we do not share your personal data outside the European Economic Area (EEA). If we transfer your personal data outside the EEA, we will only do so under the conditions imposed by the applicable privacy laws and regulations.
Security of your personal data
Seenons handles your personal data with the utmost care and ensures appropriate organizational and technical security measures to protect the personal data of our Clients, Service Partners, Website Visitors and other relations against unlawful access or modification, disclosure or destruction of personal data. If, despite the security measures, a security incident occurs that is likely to have adverse consequences for your privacy, we will inform you about the incident as soon as possible. We will inform you about the measures we have taken to limit the consequences and prevent recurrence in the future.
If you unexpectedly find a security breach or if you suspect that the security of your personal data is not properly guaranteed, we request that you contact Seenons immediately.
Visit to the Seenons platform and cookies
When you visit the Seenons platform, it is necessary to collect certain information to ensure the connection runs smoothly. Your IP address is required for this. This is a number sequence that is automatically assigned to your computer by your internet service provider every time you log on to the internet so that you can be identified.
The Seenons platform uses cookies. Cookies are simple text files that are stored by your browser on your computer, tablet or smartphone that contain information about general visitor data, such as the most frequently requested pages, browser type, date and time of your visit, etc. A cookie is used, among other things, to improve the use of the Seenons platform. The purpose of this is to optimize the design of the Seenons platform for you. How we handle cookies is described in the Cookie Policy on the website.
This Website may contain links to other websites. We make a conscious decision when we include a link on our Website to the websites of third parties. This does not mean that Seenons has any control over third-party websites, even if they link to the Website. We are not responsible for the practices, operations, conduct or content of any third party applications, websites or services linked to or from our Website. Our privacy statement does not apply when you use a link to go from our Website to another website. Your conduct on any third party website, including those linked to our Website, is subject to their own rules and policies. We are not responsible for the privacy policies of these other websites. We recommend that you take note of the privacy policies on these websites.
Retention periods
Seenons does not store personal data for longer than is necessary for the performance of our purposes, unless we have to keep your personal data for longer on the basis of a legal regulation or on the basis of our legitimate interest that outweighs it (such as an ongoing dispute). In principle, we use the following retention periods:
- We are obliged by tax legislation to keep data relating to payment for seven (7) years after payment of your (last) invoice;
- We store contact details of our contact person at companies with which Seenons collaborates and other relations (including data suppliers) for a maximum of two (2) years after the end of the collaboration or two (2) years after the last contact (subject to legal obligations);
- If you leave a message on our Website, we will store the message and any personal data contained therein until we have followed up and processed your message. In any case, the message will not be kept for longer than three (3) months after processing.
Your rights regarding the processing of personal data
You have the following rights with regard to the processing of your personal data:
- You can request information and access to the personal data that we process about you. This means that you can request which personal data has been registered about you and for what purposes that personal data is used;
- You can object against the processing of your personal data, for example if you believe that the use of your personal data is not necessary for the execution of our activities or to comply with a legal obligation;
- You can request us to change/correct your personal data and/or to limit the processing of your personal data;
- You can also ask us for your personal data to be deleted from our systems;
- You can also ask us to ensure that your personal data is transferred to another party.
Requests and other messages regarding the exercise of the aforementioned rights can be submitted in writing using the contact details below. We ask you to motivate your request, provide it with a signature, include your address details and a copy of a valid ID and ask you to cross out all unnecessary information, including at least your personal identification. In principle, you will receive a response within one (1) month of receiving your request. We will comply with your request unless we have a compelling legitimate interest not to delete the personal data that outweighs your privacy interest. Once we have deleted the personal data we cannot immediately, for technical reasons, delete all copies of the personal data from our systems and backup systems.
We may furthermore refuse to comply with the aforementioned requests if they are made unreasonably often, require unreasonably heavy technical efforts or have unreasonably heavy technical consequences for our systems or endanger the privacy of others. If Seenons has complied with a request to correct, supplement or delete personal data, we will also inform third parties to whom this personal data has been provided of the changes made.

If you are not satisfied with the way in which we have handled your request or otherwise with the processing of your personal data by Seenons, you can also submit a complaint about the use of your personal data to the Dutch Data Protection Authority (AP) or the local data protection authority in the country you are located in.
